Position Overview
The Allen Chamber of Commerce is seeking a detail-oriented, professional, and service-minded Administrative Assistant to support daily operations and member services. This is a part-time position (Monday through Thursday, 8:30 a.m. to 5 p.m., Lunch from Noon-1 p.m.) with an initial six-month term, with the opportunity to transition into a permanent, full-time role based on performance and organizational needs.
This position plays a key role in ensuring smooth office operations, delivering excellent member service, and supporting financial and event-related administrative functions.
General Office Management
- Answer and direct incoming phone calls in a professional manner
- Welcome and assist walk-in members and guests
- Process certificates of origin and notary services
- Manage office supply inventory and place orders as needed
- Maintain and prepare shared office spaces (copy area, meeting rooms, etc.)
- Assist with incoming and outgoing mail
- Manage and respond to generic inquiries from the Allen Chamber website
Financial & Administrative Support
- Assist with monthly invoices
- Post quarterly membership payments
- Post and record daily payments
- Review event registrations for outstanding invoices and follow up as needed
CRM & Data Management
- Support CRM migration through accurate data entry
- Maintain and update member contact information
- Enter event attendance records
- Generate monthly membership reports
- Contact members to verify and update contact information
- Event & Member Support
- Provide on-site support for Chamber events (registration, room setup, etc.)
- Assemble new member welcome bags and prospect folders
- Assist with general member engagement and administrative follow-up
Qualifications
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Professional and welcoming demeanor
- Proficiency in Microsoft Office and comfort learning CRM systems
- Ability to manage multiple tasks and prioritize effectively
- Previous administrative or office experience preferred
Work Schedule
- Monday through Thursday, 8:30 a.m. to 5 p.m.
- Initial six-month term
- Opportunity to transition into a full-time, permanent position
